Communicating Professionally with Vehicle Buyers
Fast, accurate and respectful communication helps professional sellers build trust and convert serious enquiries into safe vehicle transactions.
1. Respond promptly
Answer enquiries as soon as reasonably possible. If detailed information is not yet available, acknowledge the message and state when you expect to respond.
2. Identify the vehicle clearly
Refer to the listing number, make, model, year and VIN or chassis number where appropriate. This prevents confusion when a buyer asks about several vehicles.
3. Answer accurately
Confirm availability, mileage or operating hours, condition, known defects, accident history, service records, documents, price, VAT status and location. Never guess or hide important facts.
4. Provide useful evidence
Send current photos, videos or documents when appropriate. Protect personal data and sensitive document numbers. For remote buyers, offer a live video inspection or support an independent inspection.
5. Explain price and terms
State the final currency, net or gross price, VAT, deposit, payment deadline, included equipment and any loading, collection, transport or export costs.
6. Arrange viewings and test drives safely
Confirm date, time, location and contact person. Verify driving licence and insurance requirements before a test drive. Do not release keys or vehicles without appropriate controls.
7. Handle negotiations professionally
Be clear about whether the price is fixed or negotiable. Record agreed changes in writing. Do not use false competing offers or artificial urgency.
8. Prepare international buyers
Clarify export documents, customs responsibilities, temporary plates, insurance, loading, transport, destination restrictions and who pays each cost. Do not promise import eligibility for another country.
9. Protect the transaction
Verify the buyer or company where appropriate. Be cautious with unexpected overpayments, third-party payments, requests to refund a different account or unverifiable payment confirmations.
10. Confirm the agreement in writing
Use a written purchase agreement containing both parties, vehicle identity, condition, price, taxes, payment, documents, collection or delivery and any agreed exclusions or warranties.
11. Complete handover carefully
Release the vehicle only after agreed payment has been independently confirmed. Record keys, documents, accessories, date, time, mileage and vehicle condition in a handover record.
12. Close the listing
Mark the vehicle sold or unavailable, or remove the listing promptly. Keep relevant transaction records according to applicable law.
